This proposal was selected because:

A project is currently underway with objectives very similar to those of this proposal.

The DEJQ’s Vacation Department is aware of the difficulties families face in organizing their children’s vacations while they are working. It recognizes that the registration process is cumbersome and that the current IT systems for searching and registering are becoming obsolete in light of current practices.

The current project involves developing a combined online information and registration system that brings together all services offered by the DEJQ and subsidized service providers (FASL/EDI/CVAJ).

Two entities are working on this new system, which is scheduled to be rolled out in 2023.

1. The Lausanne-wide vacation coordination group (SGEJQFASL/EDI/CVAJ);

2. The City’s IT department, in collaboration with the DEJQ departments, ensures the compatibility and harmonization of IT systems intended for the public and related to pre-school, after-school, extracurricular, and out-of-school care.

 In the meantime

· The Vacation Reception Office at 7a Place Chauderon continues to provide ongoing advice, guidance, and support to families with their registration procedures. Thus, users who speak a different language, are unfamiliar with administrative procedures, or who wish to receive advice are provided with personalized assistance at our service counters to ensure a welcome tailored to their needs. The same applies to users who call or write to us.

· The youth activities liaison group www.glaj-vaud.ch supplements the offerings reserved for Lausanne residents with a Vaud-wide directory of vacation activities.

Centralized Registration for Vacation Programs

1. Background:

Starting at age 6, children in Lausanne are no longer cared for during the summer by daycare centers. Since APEMS are also closed during the summer, working parents must therefore enroll their children in the various summer activities offered on the City’s website.

Since the registration procedures differ for each location, this situation causes significant stress for parents, who must fill out different forms and submit applications to each facility, each of which has its own rules and deadlines for accepting registrations.

These procedures are particularly cumbersome and sometimes even inaccessible to certain families (e.g., families who speak a language other than French, single-parent families) due to their complexity.

--------------------

2. Proposal:

To simplify and improve access to these services, the idea would be to centralize the processing of requests by providing, on the city’s website and in brochures for parents, a single registration form that would allow parents to register their children for the entire summer based on their childcare needs.

The City would then assign children based on the needs reported by parents and according to the availability of spots in the various facilities.

--------------------

3. Motivation:

This proposal would provide relief to many parents and improve access to these services.

The primary beneficiaries are the children of Lausanne, but also their parents.

This would also promote greater social diversity, since families who currently lack access—for various reasons (e.g., families who speak a different language, people with limited proficiency in French, administrative procedures, or computer skills, etc.)—could more easily complete these applications and enroll their children.
